Job Summary:
As a member of the team, the Administrative Assistant/ Accounting Representative is responsible for assisting in the office with the day to day operations.
Duties and Responsibilities:
- Answers telephones, routes calls, takes messages, and provides general information; greets and directs visitors; answers routine inquiries.
- Opens and routes incoming mail; distributes correspondence and other material to appropriate people.
- Performs a variety of routine typing assignments as appropriate to the position; may draft basic correspondence, enter data, and print letters, labels, reports, and/or other materials; creates and mails form letters.
- Copies and files materials as requested; send faxes.
- Maintains, processes, and/or updates files, records, and other documents.
- Accounts Payable
- Assist with Accounts Receivable
- Orders, stocks, and/or distributes office supplies.
- Data Entry
- Reconcile statements, expense reports, and various other accounts as needed.
- Assist with travel arrangements for personnel.
- Assist management with various duties as directed.
- Various other duties as assigned.
Administrative Accounting Assistant must have working knowledge of:
- Office procedures
- Quickbooks
- Word processing software ( Word)
- Spreadsheet software ( Excel)
- Presentation software (PowerPoint)
- Basic bookkeeping and accounting principles
- Standard office equipment such as photocopy and facsimile machines.
- The Internet and email procedures
- Telephone techniques and etiquette
- English grammar, spelling, and punctuation
- Basic arithmetic
- Able to meet deadlines, and maintain attention to detail.
- Able to handle confidential information, especially as it deals with payroll.
- 2+ years office experience including light bookkeeping
- Valid driver's license
- Quickbooks
- Word processing software ( Word)
- Spreadsheet software ( Excel)
- Presentation software (PowerPoint)
- Basic bookkeeping and accounting principles
